We spoke with Kimberly Cammarat, a real estate consultant and member of Daniel Gale Sotheby’s International Realty’s Golden Circle of Excellence, to find out which software solutions have changed the game.
With numerous lists to keep track of, along with dozens of past and present clients, many luxury agents are burdened with administrative work and cannot focus on what matters most, namely developing customer relationships and closing deals. How do you automate these tasks and transform your real estate practice?
We spoke to Kimberly Cammarat, a real estate consultant and member of Daniel Gale Sotheby’s International Realty’s Golden Circle of Excellence, to find out which software solutions have changed the game.
For a luxury agent, no two days are alike. Are there solutions that you constantly depend on, no matter what awaits us?
Kimberly Cammarat: The first thing I do every morning is check CRM application, Cloze. It’s like a personal assistant who helps me manage my professional relationship by automatically tracking my emails, phone calls, meetings and social media platforms and organizing them by contacts, companies, appointments, etc.
Throughout the day, Cloze helps me with the assembly line. Then at night I use it to update my calendar and set the stage for the next day. I can see who I haven’t spoken to for three to six months and who needs supervision. It syncs my calendar and text messages for low dropouts. I appreciate the organization and clarity that comes with the knowledge that I stay in touch with everyone.
The luxury real estate market is developing rapidly, especially today. How do you use workflow optimization software to keep up with them?
KC: I can quickly create impressive listings and presentations for buyers on my tablet or computer with MoxiPresent, our interactive CMA tool. This is my assistant for digital listing advice and shopper tours, and the templates are fully customizable.
When I submit a presentation, it automatically refreshes the MLS data when the client opens it in their browser, and refreshes with new data every 15 minutes. MoxiPresent also automatically fills in comparison data for my buyers and sellers when I send them information.
You talked about the importance of your CRM system. How else can it help you save time as a real estate agent and make your day easier?
KC: My CRM helps me stay connected with new leads and keep them all organized for immediate access. It also provides the context I need before a meeting or call, analyzing details taken from my notes, documents, emails and texts and reminding me exactly where I left off.
It is important to note that my CRM allows me to store all contact information from the start of the transaction to the close. All my contact information is sorted in one place, which makes the process of storing and searching the documents I need in one step – for example, where a memo should be sent to fulfill the contract.
As you mentioned, MoxiPresent allows you to share information with potential customers in a timely manner. Are there other tools to assist with the listing process?
KC: The OneKey MLS system sends our ads to all relevant sites and services where we want them to be completed. Knowing that my ads were going to the right places at the right time made the process a lot easier.
What advice would you give to other agents who are overwhelmed with manual tasks? How can they start modernizing their approach?
KC: Take the time to research the tools your company provides and invest in supplementing them if additional tools are needed. My efficiency and bottom line have improved markedly, and my customer relationship has deepened. When I reach out my hand, my last text message with a client appears, so it’s easy to catch up with me. I take notes on transactions, customer details, and likes and dislikes, so I can provide a personalized service every time.
I receive at least 100 phone calls a day. It would be impossible to maintain the relationships I have had with past and present clients without the software to organize them.
